Within the GymAware cloud, you may encounter situations where you need to archive or delete data, particularly when you have reached the limits for the number of athletes or coaches allowed in your subscription level.
This article will guide you through the process of archiving, deleting, and restoring data on the GymAware platform to help you manage your account effectively.
- To archive athletes, navigate to the Manager section.
- Select "Athletes" from the menu.
- Choose the athletes you wish to archive.
- Click on the archive option to move them to the archived section.
Restoring Archived Athletes
- In the "Athletes" section, filter by "Archived Athletes."
- Select the athletes you want to restore.
- Use the restore option to bring them back to the active athletes' list.
Important Note: When you archive an individual athlete, all their data will be permanently deleted within 90 days. To retain the athlete's data, deactivate the squad they belong to.
- To deactivate a squad, go to the Manager section.
- Select "Squads" from the menu.
- Choose the squad you want to deactivate.
- Press the deactivate option to make the squad inactive.
- Filter squads by "My Inactive Squads."
- Select the squad you wish to reactivate.
- Press the reactivate option to make the squad active again.
By following this process, all athlete data associated with the squad will be retained in your account.
- To archive a coach, navigate to the Manager section.
- Select "Staff" from the menu.
- Choose the coach you wish to archive.
- Select the archive option to move them to the archived coaches' section.
Restoring Archived Coaches
- In the "Staff" section, filter by "Archived Coaches."
- Select the coaches you want to restore.
- Use the restore option to bring them back to the active coaches' list.
Note: Any squads and athletes assigned exclusively to an archived coach will be deleted within 90 days.
