Have you reached the limit for number of athletes or coaches? Follow this guide to learn how to archive your data.
Within the GymAware cloud, you may encounter situations where you need to archive or delete data, particularly when you have reached the limits for the number of athletes or coaches allowed in your subscription level.
This article will guide you through the process of deactivating and reactivating Squads and Coaches data on the GymAware platform to help you manage your account effectively.
Important Note: When you archive an individual athlete, all their data will be permanently deleted within 90 days. To retain the athlete's data, deactivate the squad they belong to.
Deactivating Squads
- To deactivate a squad, go to the Manager < Squad section.
- Choose the squad you want to deactivate.
- Press the deactivate option to make the squad inactive.
Reactivating Squads
- Filter squads by "My Inactive Squads."
- Select the squad you wish to reactivate.
- Press the reactivate option to make the squad active again.
By following this process, all athlete data associated with the squad will be retained in your account.
Archiving Coaches
- To archive a coach, navigate to the Manager<Staff section.
- Select the archive option to move them to the archived coaches' section
Restoring Archived Coaches
- In the "Staff" section, filter by "Archived Coaches."
- Use the restore option to bring them back to the active coaches' list.
Note: Any squads and athletes assigned exclusively to an archived coach will be deleted within 90 days.
Managing data on GymAware's cloud subscription platform is crucial when you reach the limits for the number of athletes or coaches in your subscription level. By archiving, deleting, and restoring data effectively, you can optimise your account's performance. Remember to consider the consequences of archiving individual athletes and coaches and take necessary steps to retain data or prevent data loss within the specified time frame.
